Who we are

Albion Illiriya is a consulting practice providing Customer Experience, AI Consulting, and Project Management services. References to "we", "us", or "our" in this policy refer to Albion Illiriya.

You can contact us at contact@albionilliriya.com.

What information we collect

We collect personal information only when you actively provide it to us: for example, when you contact us by email, make an enquiry, or engage us for services.

The types of personal information we may collect include your name, email address, phone number, job title, organisation name, and the content of your communications with us.

We use Cloudflare Web Analytics to count visits and see which pages are read. It does not use cookies and does not track you across other websites. We do not collect any personal information through passive or automated means.

Calls and texts to our AI assistant

If you call or text our UK number, you will usually speak first to Illiriya, an AI assistant. It can answer questions about our services, take a message, arrange a call back or, during opening hours, put you through to one of us. What you say is converted to text as you speak so that Illiriya can reply.

When one of us takes your call, the conversation is also converted to text as it happens. This lets our system suggest answers from our published information to the person you are speaking to, and write a short summary of the call once it ends. We do not record the audio of calls.

If nobody can take your call, you can leave a voicemail. We keep the recording, a written version of it, an English translation if you spoke another language, and a one-line summary, so that we can call you back.

We keep a record of each call, voicemail and text, including your number, when you got in touch, a written account of what was said and any notes we add. We use this to follow up with you and to recognise you if you get in touch again. To check and improve our service, our system also rates how each conversation went, for example whether your question was answered and whether you had to repeat yourself. These ratings are about how well we did, they are seen only by our team, and we do not use them to make decisions about you.

We delete voicemail recordings after 30 days, and written accounts of calls and the content of texts after six months. A basic note of each contact (your number, the time and the outcome) is kept with our other enquiry records.

If you ask us to call you back using the form on our contact page, we receive your name, your phone number, what the call is about and when suits you. We use these only to call you back, and keep them with our other call records. We don't send texts to the number you give, and we don't add it to any mailing list. To help us spot mistyped or fake numbers, we may ask Twilio whether a number is valid and what kind of line it is.

These services are provided on our behalf by Twilio, which supplies our telephone and text service, the speech-to-text used on calls and voicemails, and storage for voicemail recordings; Ollama, which provides the AI model that writes Illiriya's replies, the suggestions and summaries for our team, translations and the ratings described above; and Render, which hosts the system and its records. Some of this processing takes place in the United States. You can review their privacy practices at twilio.com/legal/privacy, ollama.com/privacy and render.com/privacy.

How we use your information

We use the personal information you provide solely to respond to your enquiry, to discuss or provide the services you have requested, and to manage our ongoing client relationship with you.

We do not use your information for marketing purposes without your explicit consent, and we do not sell, rent, or share your personal information with any third party for commercial purposes.

Legal basis for processing

Where we process your personal data, we do so on one of the following legal bases under UK GDPR: your consent; the performance of a contract with you or to take steps at your request before entering into a contract; or our legitimate interests in running a consulting business and responding to genuine enquiries.

How long we keep your information

We retain personal information only for as long as necessary for the purposes set out in this policy, or as required by law. Enquiry correspondence is typically retained for up to two years. Client engagement records are retained for up to seven years for legal and accounting purposes.

Your rights

Under UK GDPR, you have the right to access the personal information we hold about you, request correction of inaccurate information, request deletion of your data, object to or restrict our processing of your data, and to lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk.

To exercise any of these rights, please contact us at contact@albionilliriya.com.

Data security

We take reasonable technical and organisational measures to protect your personal information from unauthorised access, loss, or disclosure. Email communications are inherently not fully secure; please be mindful of what you share by email.
